SOLICITATION SCHEDULE:

It is the City’s intention to comply with the following solicitation timeline: 

  • Solicitation released; September 22, 2021 
  • Mandatory Pre-solicitation meeting; October 20, 2021 
  • Deadline for questions; October 27, 2021 
  • City responses to all questions or addendums; October 29, 2021 
  • Responses for solicitation due at or before 1:00 PM on November 3, 2021

*The City of Liberty Hill reserves the right to change the dates in the Schedule of Events above upon written notification to prospective Vendors through a posting on the City of Liberty Hill website. It is the responsibility of interested Vendors to check the City of Liberty Hill website for all updates and changes. 

All questions regarding the solicitation shall be submitted in writing at or before 5:00 PM on the due date noted above. A copy of all the questions submitted and the City’s response to the questions shall be posted on our webpage. MANDATORY PRE-SOLICITATION MEETING: 

A pre-solicitation meeting will be held to fully acquaint Respondents with the unique needs of the City. The pre-solicitation meeting will be conducted on: October 20, 2021, at 1:00 PM CST City of Liberty Hill City Hall 926 Loop 332 Liberty Hill, TX 78642 

  • The City considers this pre-solicitation meeting mandatory. 
  • It is the responsibility of the Respondent to be familiar with the specifications herein and to ask any relevant questions they may have concerning this solicitation. 
  • A site walk shall be conducted during the meeting. Respondent shall be responsible for obtaining any and all project measurements for material requirements and costing. 
  • Vendor attendance will be documented at the pre-solicitation meeting. Any respondent that submits a response that does not attend the meeting will be disqualified.  

RESPONSE DUE DATE: 

Signed and sealed responses are due at or before 1:00 PM, on November 3rd to the Purchasing Department.

  • Responses received after this time and date shall not be considered. 
  • Sealed responses shall be clearly marked on the outside of packaging with the Project Name, due date and “DO NOT OPEN”. 
  • Facsimile or electronically transmitted responses are not acceptable. 
  • Late responses will be returned to Respondent unopened if return address is provided. 
  • Responses cannot be altered or amended after opening. 
  • No response can be withdrawn after opening without written approval from the City for an acceptable reason. 
  • The City will not be bound by any oral statement or offer made contrary to the written specifications.
